Keep control of your HOA. Get help with the physical work.

Keep your board in charge. AHS checks vendor work, coordinates common-area maintenance, documents issues, and follows through on repairs across Metro Atlanta. Start with oversight of an existing vendor or ask us to take on selected services.

The problem

Self-managed should not mean board-managed maintenance.

Self-management gives your HOA control and lower overhead. But someone still has to check the vendors, walk the property, chase repairs, and keep the records. In many self-managed communities, that falls on a few volunteers giving up their evenings and weekends.

AHS is not a property management company. We do the hands-on work around your vendors and common areas, and report it to your board. The association stays yours.

Who does what

Your board keeps the association. AHS handles the vendors and the property.

Your board keeps

Exactly as it runs today.

  • Governance and every association decision
  • Budgets and approvals
  • Association policies and homeowner relationships
  • Resident communications
  • Elections and covenant enforcement
  • Accounting, dues, and your financial provider

AHS handles

The work your volunteers are doing now.

  • Site inspections, scheduled and unannounced
  • Vendor scopes and contracts
  • Vendor follow-up until missed work is corrected
  • Bids and vendor sourcing
  • Repair and capital-project coordination
  • Checking completed work before invoices are approved, when AHS holds the contract
  • Photographed reports to the board

Partially self-managed HOAs

Already have an accountant or financial provider? Keep them.

Many self-managed boards outsource the books and keep everything else. That works, until the vendors, the common areas and the projects become a second job. AHS sits beside your existing setup instead of replacing it.

  • Your accountant or financial provider handles the books.
  • Your board handles governance and approvals.
  • AHS handles the inspections, the vendors and the repairs.

Three ways to work with AHS

From one vendor to most of the community.

Keep your board, your financial provider, and the vendors that work. Choose how much AHS takes on.

Option 1 · Keep your vendors

CAP Base

Covers: one selected vendor contract, with one focused site visit a month.

  • Scope compliance and safety checks on site
  • Written notices when contracted work is missed
  • Review of that vendor’s contract and value
  • Documentation and a report to the board

Option 2 · Selected services or projects

AHS Service + CAP Complete

Covers: the specific recurring services or one-time projects you hand to AHS.

  • We source vendors and compare bids
  • We define the scope, and hold and direct the contract
  • We inspect, document, and follow up on corrections
  • We verify completed work before invoice authorization

Under the current published CAP offering, CAP Complete is included when AHS takes on a recurring service or qualifying large project. Confirm exact inclusions in the service proposal.

Option 3 · Community-wide

Community Maintenance Partnership

Custom proposal

Covers: a custom arrangement across several service categories, defined in a written proposal.

  • One point of contact for the agreed maintenance work
  • Documented schedules, scopes and budgets for board approval
  • Coordinated sourcing, inspections, and follow-up
  • A clear line between what AHS does and what stays with the board

A custom arrangement to explore with AHS, not a standardized or fixed-price package. AHS does not assume the association’s financial-administration or governance duties.

How it works

Six steps, and your board decides at each one.

  1. Free community assessment. We learn how your HOA is set up, which vendors you use, what you maintain, and where the board spends the most time.
  2. Map the physical work.Common-area services, recurring contracts, active projects and major assets that need oversight.
  3. Review your vendors. We read the contracts and scopes you have, so everyone knows what is supposed to happen. Need a new vendor? We source and compare options.
  4. Decide what to keep.Keep the vendors that work, move selected services to AHS, or start with independent CAP oversight.
  5. Site visits.Scheduled and, where appropriate, unannounced visits, documented with photos, notes, deficiencies and follow-up.
  6. Reports to the board.A documented view of the property, so decisions come from evidence instead of complaints or vendor promises.

Step one is free, and there is no obligation.

Responsibility split

Your board stays in charge. AHS carries the field workload.

Who is responsible for what: the self-managed board and AHS
ResponsibilitySelf-Managed BoardAHS
Governance and policy Retains authority Not our role
Budget approval Retains authority Provides physical-project/vendor information
Accounting / dues Board or financial provider Not our role
Resident communications Board / existing system Not our role
Elections / covenant enforcement Board / specialist Not our role
Vendor sourcing Board can participate/approve AHS can source and compare
Scope review Board approves AHS helps define and verify
Physical site checks Board no longer has to do it alone AHS performs field oversight
Vendor performance documentation Board receives record AHS documents
Deficiency follow-up Board sets direction AHS follows the physical work
Capital project coordination Board approves project AHS coordinates physical execution
Completion verification Board retains final authority AHS provides field verification

AHS does not take away your board’s authority or fiduciary responsibility. We give the board better information so volunteers do not have to supervise every contractor themselves.

Proof, Not Promises

Built for boards that want proof, not promises.

Self-managed boards do not need more promises from vendors. They need visibility into what happened, what was missed, and what needs to happen next.

Common questions

Questions self-managed HOA boards ask us

Is Atlanta HOA Services a property management company?

No. AHS works on the physical side of HOA communities: common-area assets, vendors, maintenance, inspections and projects. We do not collect dues, keep the books, run elections, enforce covenants or handle resident communications.

We already use an accountant or financial-management company. Can we keep them?

Yes. They keep handling accounting and financial administration; AHS works alongside them on the vendors and the common areas.

Do we have to replace our existing vendors?

No. CAP can independently check the vendors you already have and document how they perform. If one is not performing, AHS can help with bidding and the transition.

What if we only need help with one service or one project?

That is fine. AHS can take on a single recurring service or a one-time project such as landscaping, pool maintenance, tree work, roofing, security cameras, paving, drainage or fencing.

Can AHS take responsibility for most of our physical maintenance?

Potentially, as a custom Community Maintenance Partnership. We would first review your common-area assets, contracts, budget and approval process. Any arrangement is defined in a written proposal; it is not an automatic full-service HOA contract.

How much does CAP cost?

CAP Base is currently published at $475 per month, month-to-month. Pricing for recurring services and larger projects depends on the scope of work.

What areas do you serve?

Metro Atlanta communities in DeKalb, Fulton, Gwinnett, and Cobb counties.

What happens during the free community assessment?

We learn how your HOA is structured, find the services and assets creating the most workload or risk, look at how your vendors are handled, and recommend independent oversight, selected AHS services, or a combination. There is no obligation to replace your vendors or change how your association is governed.

Free community assessment

Self-managed does not have to mean self-performing.

Keep the control that made your community choose self-management.

Give the maintenance workload to a team that inspects it, documents it, follows it through, and reports back to your board.
